Outsourcing Medical Billing Work: 9 Questions to Ask a Potential Partner
A practical checklist for healthcare organizations and billing companies considering an outsourcing or white-label partner for billing work.
Outsourcing part of your billing work can add capacity without adding headcount. It can also add risk if the partner is not a good fit. Whether you run a healthcare organization or a medical billing company looking for white-label support, these questions help you have a clear conversation before you commit.
1. Exactly which tasks will you handle?
"Medical billing" covers many different activities. Ask the partner to name the specific tasks they will perform, such as charge entry, claims submission or patient statements, and which tasks stay with your team. A clear scope prevents gaps where each side assumes the other is responsible.
2. Which systems have you worked in?
Ask which billing, practice-management or EHR systems their team has used, and whether they will work inside your systems or their own. Experience with your system shortens onboarding.
3. How will you access our systems and data?
You should understand who on their team will have access, how accounts are created and removed, and how access is limited to the work being done. Good partners are comfortable explaining this plainly.
4. Will you sign a Business Associate Agreement?
If the partner will create, receive, maintain or transmit protected health information (PHI) on your behalf, the HIPAA rules generally require a Business Associate Agreement (BAA) between you and them. The BAA sets out how the partner may use and must protect that information. The U.S. Department of Health and Human Services (HHS) publishes guidance on business associates that is worth reading before these conversations.
5. How do you check quality?
Ask what checks are built into their workflow, who reviews the work, and what happens when an error is found. Look for a defined process rather than a promise of perfection.
6. How will we communicate, and when?
Agree on channels, points of contact and response expectations. If the partner works in a different time zone, ask which of their working hours overlap with yours and how urgent questions are handled.
7. What will you report, and how often?
Decide up front what you need to see, such as volumes processed, items pending and issues raised, and how often you will see it.
8. What does onboarding look like?
A good onboarding plan covers system access, walkthroughs of your workflow, written process notes and a period of closer review at the start. Ask how long they expect it to take and what they need from your team.
9. What happens if we part ways?
It is a fair question to ask at the start. Understand how work in progress, documentation and system access will be handed back if the arrangement ends.
The right partner welcomes these questions
A partner who answers clearly, admits what they don't do yet, and puts commitments in writing is usually a better fit than one with the biggest claims. The goal is a working relationship where both sides know exactly who does what.
